Position: Office Manager Location: Rejuvenate Austin Austin, TX About Us: Rejuvenate Austin is a leading medical spa dedicated to offering the highest quality aesthetic and wellness treatments in a luxurious, professional environment.
Our team of experienced professionals is committed to providing each of our clients with personalized care that meets their individual needs and expectations.
Position Overview: The Office Manager at Rejuvenate Austin will play a crucial role in ensuring the smooth operation of our medspa.
This individual will oversee daily administrative tasks, manage staff schedules, and ensure the highest level of customer satisfaction.
The ideal candidate will have a passion for the beauty and wellness industry, along with strong leadership and organizational skills.
My goal is to grow the business and open a second location within 2024.
I need a mover and shaker.
Key Responsibilities: - Manage daily operations to ensure the efficient and effective running of the medspa.
- Handle scheduling of staff schedules and vacation schedules to ensure we always have coverage for our patients.
- Oversee client relations, including greeting clients, managing bookings, and handling complaints or concerns with professionalism and care.
- Maintain inventory of spa supplies and products, placing orders as needed to ensure all treatments can be performed without interruption.
- Manage financial tasks such as processing payments, preparing daily sales reports, and controlling the budget.
-Maintain the flow of the office, including laundry and unpacking orders.
- Ensure compliance with health, safety, and sanitation standards.
- Develop and implement policies and procedures to improve operational efficiency.
- Lead, motivate, and train staff to provide the highest level of service to clients.
- Work the front desk when our front desk team members are on break, out sick, or on vacation.
- Coordinate with marketing to promote services and specials to current and prospective clients.
- Liaise with vendors and service providers.
- Conduct regular staff meetings and provide updates on policies, client feedback, and operational changes.
- Run Payroll using our Paychex software -Maintain each team members KPI (Key Performance Indicator) -Give Performance Improvement Plans to team members that need it.
Qualifications: - Proven experience as an Office Manager, preferably in the health, wellness, or beauty industry.
- Strong leadership and people management skills.
- Excellent organizational and multitasking abilities.
- Outstanding communication and customer service skills.
- Knowledge of the medspa industry and current trends is a plus.
- Ability to handle sensitive client information with confidentiality.
- A passion for health, wellness, and beauty.
- Bachelor’s degree or equivalent experience in business administration or related field preferred.
